Leadamax LLC, operating as SelenicAI ("we," "our," or "us"), operates the website selenicai.com and provides a 24/7 AI voice receptionist to UK private dental practices. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit our website or when we deliver the receptionist service to a contracting dental practice. We process data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. Information we collect

Information you provide

  • Name, email address, phone number, and practice name when you book a call or contact us
  • Practice information provided during onboarding (opening hours, treatment mix, diary structure, team contacts)

Patient call data (processed for the practice)

  • Inbound patient call audio, transcripts, and booking details captured by the AI receptionist on behalf of the contracting practice

Information collected automatically

  • Standard website analytics (pages viewed, device, referrer) used to operate and improve the site

3. Controller and processor roles

For website visitors and prospective customers, SelenicAI is the data controller. For patient call data, the contracting dental practice is the data controller and SelenicAI is the data processor, processing data only on the practice’s documented instructions under a Data Processing Agreement.

4. How we use information

  • To deliver, configure, and support the receptionist service
  • To answer patient calls, qualify enquiries, and book appointments into the practice diary
  • To maintain a full, retrievable call audit log for the practice
  • To respond to enquiries and provide customer support
  • To meet legal, regulatory, and security obligations

We do not sell, share, or use patient data for any purpose beyond delivering the service contracted.

5. Data security and residency

Practice data and patient communications are encrypted in transit and at rest. All patient data is hosted within the United Kingdom. Access is restricted to personnel and sub-processors who need it to deliver the service, each bound by equivalent data-protection obligations.

6. Retention

Personal data is retained only as long as necessary for the purposes set out above. Patient call data is retained for the period defined in the contracting practice’s Data Processing Agreement and then securely deleted.

7. Your rights

Under the UK GDPR you have the right to access, rectification, erasure, restriction, portability, and to object to processing. You may also lodge a complaint with the UK Information Commissioner’s Office (ICO) at ico.org.uk. Patient data subject requests are handled by the contracting practice as controller, with our support.
