1. Our role
Leadamax LLC, operating as SelenicAI, provides a 24/7 AI voice receptionist to UK private dental practices. For website visitors and prospective customers, SelenicAI acts as a data controller. For patient call data processed on behalf of a contracted dental practice, SelenicAI acts as a data processor and the practice remains the data controller. A Data Processing Agreement governs every practice engagement.
2. Lawful bases
We process personal data under the UK General Data Protection Regulation and the Data Protection Act 2018. Our lawful bases are: performance of a contract (delivering the receptionist service to a practice), legitimate interests (operating and securing the service, responding to enquiries), and consent (where required for marketing communications).
3. Patient call data
Inbound patient calls handled by the AI receptionist may be recorded and transcribed to deliver the booking service and to maintain a full audit log. This data is processed strictly on the documented instructions of the contracting dental practice, is encrypted in transit and at rest, and is retained only for the period set out in the practice’s Data Processing Agreement.
4. UK data residency
All patient data is hosted within the United Kingdom. Where a sub-processor is used to deliver the service, it is bound by contractual data-protection obligations equivalent to those in this statement, and an up-to-date sub-processor list is available to contracted practices on request.
5. Your rights
Data subjects have the right to access, rectification, erasure, restriction of processing, data portability, and to object to processing. Patient data subject requests are routed to the contracting dental practice as data controller; we support practices in fulfilling them. 6. Complaints
You have the right to lodge a complaint with the UK Information Commissioner’s Office (ICO) at ico.org.uk if you believe your data has not been handled in accordance with the law.
